Executive Assistant - Contract to Hire

I need an Executive Assistant who has done it, knows it well, and can help me learn how to use an executive assistant.

I am an executive director of a small nonprofit in Colorado, USA. I am neurodivergent. I have waaaaayyyy toooooo muuuuuuch on my plate and people rely on me. I am missing due dates all the time. I have a hard time tracking projects. But this is a symptom of my overwhelm, not my... every day way of being.

I have a lovely staff. Many of whom have not worked in nonprofit or offices before and most have not run projects. Good capable smart people, and I am usually the one they are waiting on to show them. I would love to have some more systems and regular schedule to get people more independent and confident.

I know that I am good at and know a lot about my area of expertise. Being a boss, is not what I was trained to do, but it's where I am, and I want to be the best boss that I can be and the one that my people deserve.

I need someone who understands and can help me with time, man-made time, like the clock and the calendar. and managing all of the tasks that go into reaching a due date.

I need someone who does NOT need training on the skills and practice of executive assistance, but who also asks and ensures that the work being done fits our specific work. There are lots of rules and nuance around our particular work. We serve people who have experienced violence, like domestic violence, sexual assault, stalking and trafficking. There are lots of rules and laws and even the most mundane paper needs to fit our rules.

I have tried two assistants before, both were good people, but not the right people or skills for the job. The first never communicated with me and got pulled off of her assigned-by-me task to help other people all the time and I would end up doing the work assigned to her. It was a whole thing.

The second had great initiative but also didn't communicate with me to ensure it was what we needed. and she would decide on her own/unilaterally what to do, and often it's not what I needed. I was left doing my things on my own.

Both of them also were never able to accomplish scheduling a board meeting or to find a database for our needs. One of my mentors says, 'It's easy to be busy, it's harder to get your work done.' I need to get my work done and I need someone who is really my right-hand person.

I struggle with knowing where to start and with delegating. So, I know I need someone who really understands the job of executive assistant and in a very real way, to train me how to use their/your expertise.

I may be overwhelmed and need good help, but I am dedicated, I care, I am open, I aim for direct and respectful communication, but directness is most valuable to me. I truly care about the people who work with me. When things run smoothly, I love my job. When it doesn't I want to move to another city and close the place down.

We need someone who can fit in with the team, and who understands the confidentiality that executive administration necesitates. Trust and discretion is essential for this position.

Our team speaks both Spanish and English. If you do, that would be perfect, but not required for the right candidate.

I am not sure about a virtual assistant. I did try it. And I think with the right person, it could work; as evidenced by my being here. :-)

I also would like that we are open and if it's not working, for whatever reasons, that we could identify that early on, as either a need for adjustment and alignment, or something that means we don't align and both of us can move on in a good way to find the people and/or workplace that does align. It is 100% possible to be good people who don't align in that moment, and I want to be able to practice this. Of course, my true desire and goal is the right person who can work with me over the next 3 months on a part time basis and if it works well, we could move to solidify the job as a regular employee.

I have worked on nationwide teams before, we use hybrid in our office now, even though all of our staff are located in the same city.

At this moment, I am looking for the Executive Assistant that can help me get a system set up for using an executive assistant, and get myself and the staff trained on how this operates in our organization. I need a routine and reliable structure/systems to integrate newness/change. Since this is a temp and pert-time job, I am open to negotiating what the schedule looks like.
