Seeking Experienced Part-Time Virtual Assistant for Busy Entrepreneur

We are looking for an experienced part-time contractor Executive Assistant. The EA will work directly with the CEO of a group of professional services firms, including accounting and tax services, software consulting, and wealth management. The CEO is in need of someone with previous experience as an EA - this is not an entry level role.

The ideal candidate will have definitive experience in previous roles where they worked with a business owner closely managing a busy calendar & inbox independently, assisting the CEO in their day-to-day task management.

RESPONSIBILITIES

Some of the responsibilities in this role will include:

• Independent management of the CEO's inbox, calendar, and tasks

• Tight management of the CEO's day to day tasks - consistently reviewing to ensure nothing is overdue/lost/forgotten and getting time on the calendar for upcoming tasks

• Assisting with general ad-hoc tasks as needed

• Assisting with booking client meetings into the CEO's calendar and managing the client project master calendar

• Creating new & maintaining current SOPs for regular repeatable tasks in this role

Our established tech stack:

• Microsoft 365 (Outlook, Excel, Word, Teams, etc.)

• ClickUp

• QuickBooks (Online & Desktop)

• HubSpot

• Cal.com

• Experience with other systems will aid in consideration as well.

We?re looking for someone who is:

• a stickler for details: double-booking never happens on your watch and you can catch a

typo a mile away!

• willing to take ownership of their tasks: you don't need to be babysat to get your work done

• full of initiative: if the CEO asks you to cancel their magazine subscription, you don't give them the customer service phone number. You call and cancel it.

• thinking ahead: you're always looking at the downstream impact of booking calls and events with the CEO's current workload

HOURS & RATE

Right now, we think the role will take approximately 5-10 hours per week (20-40 hrs/month), but we?re looking for someone with some flexibility since the hours are not set in stone yet.

You?ll need to be able to work around CST hours and have regular communication with the CEO during business hours. (Pinging for help at 11pm on a Saturday isn't going to work in this role.)

This role pays $15-24 USD per hour to start. This is an independent contractor position to start. The right EA may be transitioned to an employee in the future.
