Front Desk and Retail Specialist

The San Diego Yacht Club is looking for a new staff member to join the Front Desk team! The... ideal candidate will be a problem-solver who has excellent communication skills and impeccable attention to detail. This person should have entry level experience working in an office environment, a keen sense of basic retail operations & customer service, performing administrative tasks, and providing support to our members, guests & coworkers. The ability to multitask, work under pressure, connect with members while offering 5-star customer service experience along with meeting deadlines are essential for the position. This role consists of 60% administrative / 40% retail.

Front Desk and Retail Specialist
Essential Functions Operate telephone; relay messages to telephone stations; greet members and guests; answer club emails. Assist other Departments as needed including Accounting, Accounts Receivable, Membership, Marina, Security, Catering, F&B, Maintenance and Club related tasks as needed
Additional Responsibilities
1. Operate and answers the telephone in a professional manner (within 3 rings); transfers calls to proper extensions; respond to voicemail as received & takes messages for staff
2. Provide schedule and other club information to members and guests
3. Sort and distribute incoming mail for all Departments
4. Collect and post outgoing mail (including overnight mail services; occasional errands to the US Post Office when needed
5. Assist with filing mail for members, or extra support to the back office as needed
6. Pick up/drop off merchandise to local embroidery company for the boutique periodically
7. Fulfill guests requests (i.e. places phone calls, parking request, guest cards, reservations etc.)
8. Perform general office work such as typing, filing, and operating copy and fax machine
9. Operate gate entry via telephone. Properly screens anyone requesting access to SDYC facilities
10. Maintain office supply inventories for Front Office and create inventory list
11. Generate dining room surveys weekly and email members
12. Maintain an updated employee contact list and Front Office calendars
13. Complete retail transactions, daily sales reports, and assists with retail organization and inventory
14. Enforce reciprocal member guest guidelines
15. Maintain member and guest records (including visits by guests, member charges, etc.)
16. Process reciprocity letters/emails for SDYC members, as well as respond to letters of introduction for reciprocal guests in a timely manner
17. Update and maintain member mailing and telephone lists as needed
18. Maintain lobby and club event postings for members or other important updates from catering or F&B
19. Assist Accounting with monthly mailing of statements to members
20. Make dining reservations
21. Greet and direct members, guests, visiting reciprocal members, and vendors
22. Maintain organization and tidiness of the Front Desk and boutique
23. Record and communicate any maintenance requests with Facilities Director and GM
24. Perform member-family relations responsibilities (preparing, and sending thank-you letters, get-well cards, flowers, etc.)
25. Manage lost and found program
26. Process members purchases of gate openers, head keys, and dinghy tags
27. Maintain spreadsheet of head key deposits, car decals, and bike/trailer/kayak/paddleboard decals
28. Ability to access SDYC website, uploading documents, and completing updates
29. Performs other duties requested by the manager on duty (MOD)
30. Update weekly events communicated by Catering office as received
31. Assist with monthly inventory including: counting, replenishment of sell through, prevent provide excellent customer service while members or guests are shopping in store, maintain visual standards daily
32. Maintain organized back stock for all boutique merchandise
33. Process sales transactions through POS system for member, guests, and employees and balance daily transactions; forms of payment include membership charges, credit card, and cash
Reports to Member Services & Merchandise Manager
Preferred Skills and Experience Experienced with Microsoft 365, Outlook Office, Adobe Acrobat, Excel, Canva, Mailchimp, Website Management Cash Handling and Basic Accounting
Clubhouse hours are Tuesday - Sunday and Monday's we are closed.
Job Types: Full-time, Part-time
Pay: $19.00 - $21.00 per hour
