Executive Assistant US CEO and COO - Remote EST
Charles Taylor is a highly successful global provider of professional services to the insurance industry. We are seeking a dynamic Executive Assistant to the CEO and COO of the Americas to join our team. This is a remote position in the Eastern Standard Time Zone.
Position Summary
This position will provide administrative support for the CEO and COO. The ideal candidate is a professional who has previous experience supporting executives in a fast paced environment. The candidate should be a team player, motivated, resourceful, organized and communicative.
Essential Functions
? Monitor and manage emails; prioritizing, escalating, and composing draft responses.
? Track and monitor open actions detailing accountability and deadline, follow up is expected.
? Manage complex calendars with meetings and travel in multiple time zones with knowledge of preferred meeting cadence and travel preferences.
? Coordinate and schedule meetings for Executive team. Some travel may be required.
? Oversee and manage special projects, meetings and events for Executive team.
? Organize, compile and distribute reports from the Americas businesses.
? Compile expense reports and preapproved/preauthorized expense reporting of direct reports.
? Arrange travel within established preferences.
Skills & Abilities
? Minimum of 10+ yrs extensive administrative experience with 3 -5 years of experience as an Executive Assistant supporting high- level C-suite executives.
? High level of integrity and discretion in handling all confidential information.
? Excellent verbal and written communication skills which represent the Executives and the company.
? High level of professionalism embodying the company?s culture and vision as an ambassador of the Executive?s office.
? Proficient in Microsoft Outlook, PowerPoint, Excel, Teams and Salesforce. Must be comfortable learning and utilizing new technology applications.
? Ability to work quickly and be responsive with a keen sense of urgency.
? Continually adapt to Executives? changing priorities and focus on the most critical.
? Proactively adjust plans or schedule as needed by anticipating needs prior to events.
? Thorough understanding of Executives preferences, priorities and goals for informed and effective decision making.
