JOB SUMMARY
The primary function of the Executive Assistant is to assist the leadership team with a wide range of administrative duties to ensure organizational effectiveness and efficiency. The Executive Assistant will report directly to the CEO and is an energetic, highly detail-oriented professional who enjoys wearing multiple hats and collaborating with multiple teammates. The Executive Assistant can work independently with little or no supervision and can own several projects and tasks, ensuring success and completion. They are well-organized, flexible, and enjoy the administrative challenges of supporting a company of diverse people. The Executive Assistant is an essential part of the team in providing superior quality of ABA and administrative services to achieve the goals developed for clients and the company.
RESPONSIBILITIES AND DUTIES
? Maintain confidentiality in all aspects of client and staff information
? Assists with all company meetings, such as taking minutes, sending/rescheduling meeting times, recording sessions, and uploading onto the company intranet
? Supports the team by managing several projects and tasks to be completed by the deadline and meeting our standards of excellence
? Works directly with the CEO on a variety of tasks
? Meeting reminders
? Meeting preparation
? Calendar Management
? Project Coordination
? Follow-up Actions
? Collaborates with Operations Coordinator and Director of Training to support and maintain new hires on track during new hire training period
? Collaborates with the team to refine and enhance existing policies, fostering a culture of continuous improvement and adherence to best practices.
? Moderate calendar management for leadership and management teams
? Assist with facilitating and organizing company events, ensuring seamless coordination and execution. Contribute to the planning and execution of various corporate functions, fostering a positive and engaging atmosphere for employees and stakeholders alike.
? Assists in drafting internal + external communications
? Other duties as assigned
QUALIFICATIONS/SKILLS
? Proven experience as an Executive Assistant support high-level executives.
? Highly organized and detail-oriented, with the ability to keep track of a variety of projects and tasks in a highly fluid and fast-paced environment
? Great project management skills, ensures projects are completed on or before deadline
? Excellent communication skills, both written and verbal, with a keen eye for detail.
? Highly skilled in using technology, such as Microsoft Office and Google for Work (Docs, Sheets, Slides, Calendar), and project management tools such as Monday, and able to learn new software on the job
? Proactive problem solver with the ability to take initiative when a gap is identified
? Optimistic and collaborative, we love what we do and we give each other the benefit of the doubt when mistakes are made
? Above all else, we are a service-first organization, and having integrity and accountability is of the utmost importance
? Knows when to say ?I don't know? and knows when to ask for approval and for support for colleagues and supervisors.
REQUIREMENTS
? Logistical Requirements
? High school diploma or GED required
? Excellent computer skills, including Google Apps (Docs, Sheets, Slides), CentralReach, Quickbooks, Microsoft Apps (Word, Excel, PowerPoint)
? Reliable transportation & valid car insurance required. Fluency in English required, fluency in English and Spanish preferred
