Role Summary As a Bookkeeper with A/B, you will work with the Head of Operations and Managing Partner and be responsible for managing internal finance and accounting processes. As a Bookkeeper with A/B, you will work under the guidance of, and report to, the Head of Operations and your primary responsibilities will typically include: Accounts Receivable Management: ? Manage and administer client invoices. ? Create and send invoices through QuickBooks Online (QBO) for both professional fees and client expense reimbursements, utilizing electronic email and QBO platforms. ? Diligently track and follow up on outstanding Accounts Receivable (A/R), including engaging with clients who have overdue invoices in collaboration with the Managing Partner to ensure thoughtful communication. ? Report on A/R aging schedules to the Head of Operations and Managing Partner. ? Maintain and update client spending dashboards for key accounts, ensuring accuracy of variable hours submitted by independent contractors. Accounts Payable Administration: ? Onboard vendors and consultants into accounts payable platform by setting up accounts and extending platform invitations. ? Oversee payment processing for both domestic and international vendors and consultants. ? Manage invoice entries in Bill.com, initiating the approval process and maintaining inbox organization. ? Review and prepare invoices for approval, including detailed information such as vendor name, invoice number, payment terms, and relevant account details, ensuring alignment with the Chart of Accounts. ? Schedule payments for approved invoices adhering to Net 30 terms. Financial Statements Reconciliation and Management: ? Collaborate with the Head of Operations multiple times a month to review transactions and ensure accurate representation in the Chart of Accounts. ? Conduct thorough reviews and reconciliations of the Balance Sheet with the Head of Operations, finalizing adjustments by the 10th of the subsequent month. ? Complete the monthly book closing process by ensuring all income and expenses are accurately categorized in QBO. ? Facilitate monthly financial performance reviews with A/B Leadership, sharing detailed P&L and Balance Sheet reports with the Managing Partner. Tax Responsibilities: ? Prepare and submit 1099s for all eligible consultants. ? Finalize financial statements for accurate tax submissions and payments, ensuring compliance with tax regulations. General Bookkeeping Duties: ? Efficiently manage external client inquiries sent to the bookkeeping and billing inboxes. ? Undertake additional bookkeeping and accounting-related tasks as directed by the Head of Operations and Managing Partner, demonstrating flexibility and commitment to the organization?s financial health. This is a contractual, part-time role and we are looking for an entrepreneurial individual with a desire to grow with A/B long-term. Qualifications ? At least 3 years of experience working as a Bookkeeper ? Experience working in professional services is highly preferred ? Experience with QuickBooks and Bill.com is highly preferred ? Ability to work within standard business hours (EST 9AM-6PM) ? Available to dedicate ~20 hours per month and at least 1 hour per business day ? Possess a deep understanding of accounting principles and financial statements. Who you are ?
