Administrative Assistance on a freelance, part-time basis

About the Project:

We are seeking a detail-oriented and proactive Administrative Assistant to support a group of angel investors with their communications, deal flow, and day-to-day operations on a freelance contract basis. The ideal candidate will have exceptional organisational skills, a strong ability to multitask, and experience in providing administrative support in a fast-paced, high-stakes environment. You will play a pivotal role in ensuring the smooth functioning of the team?s investment processes, managing communication, and keeping all stakeholders on track.

Key Areas:

Communication Management: Circulate group communications and be responsible for handling member queries and requests. Ensure timely and clear communication with team, syndicate members and with external partners.

  • Deal Coordination: Assist in managing and tracking investment opportunities, including organizing pitch meetings, providing necessary documentation, and tracking deal flow.
  • Document Preparation and Management: Draft and proofread investor communications and maintain accurate records of all investments and related correspondence.
  • Event Coordination: Help organise virtual and in-person meetings, webinars, and other events related to deal-making or networking.
  • Data Management: Update and maintain deal-tracking tools, ensuring all relevant deal information is recorded and accessible.
  • General Administrative Support: Provide ad-hoc administrative support including preparing reports, doing research and helping implement tools that increase the efficiency of syndicate operations.

Qualifications:

  • Experience: Proven experience in administrative support, ideally in a fast-paced or investment-related environment.
  • Skills: Strong communication skills (both written and verbal), excellent time management, and organisational abilities. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and online tools that support syndicate operations.
  • Detail-Oriented: Ability to handle complex tasks with high attention to detail, ensuring accuracy and quality in all work.
  • Tech-Savvy: Comfort with various digital tools and platforms, including Zoom to support the hosting of virtual meetings.
  • Problem-Solving: Ability to anticipate needs and take initiative without needing constant direction.
  • Confidentiality: Understanding the importance of discretion and handling sensitive information with confidentiality.

Ideally you are:

Enthusiastic, reliable, and able to maintain a high level of professionalism at all times.

A quick learner with an interest in the venture capital or angel investing space.

Ability to adapt to a dynamic work environment and effectively handle shifting priorities.

Proactive in identifying areas where improvements can be made, especially around administrative processes.
