The Calling:
Branching Minds is looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO and COO. The ideal candidate will manage administrative tasks, coordinate special projects, handle scheduling, make travel arrangements, and report directly to the Chief of Staff. This position will play a critical role in ensuring the smooth operation of the executive team and overall success of Branching Minds as the company grows.
What You Will Achieve:
This position will be involved in the day-to-day coordination of leadership priorities. The ideal candidate will possess a high degree of professionalism, a proactive attitude, and a natural ability for (and love of) juggling multiple balls simultaneously. Key responsibilities of the position include:
? Administrative Management: Efficiently manage and prioritize the calendars of the CEO and COO, and schedule meetings, appointments, and events. Handle email correspondence and phone calls.
? Special Projects: As directed, assist in planning, executing, and following up on special projects. Conduct research, gather data, and provide insights to support strategic initiatives.
? Travel Arrangements: Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries. Ensure travel plans are cost-effective and aligned with schedules.
? Meeting Coordination and Follow-Up: Organize and prepare for meetings, including creating agendas, taking minutes, distributing follow-up materials, and supporting the CEO and COO with action steps.
? Reporting: Provide regular updates and reports to the Chief of Staff. Assist in preparing executive summaries and reports for board meetings and other key stakeholders.

? Bachelor?s degree in Business Administration, Communications, or a related field.
? Exceptional organizational and time-management skills.
? 3+ years of experience as an executive assistant, project coordinator or in a similar role.
? Strong written and verbal communication abilities.
? Proficiency in GSuite (calendar, Gmail, Sheets, Docs, Slides) and project management tools.
? Ability to handle sensitive information with discretion.
? High level of professionalism, integrity, and attention to detail.

Interview Process:

? 45-minute Video/Phone Interview with the Chief of Staff
? 60-minute Final Round with CEO and COO with a written exercise prompt to submit in advance

? Base annual compensation for this role is $57,000 - $87,000 based on experience and expertise as well as geographic location.
