Position Overview
We are seeking an experienced, proactive, and highly organized Virtual Executive Assistant to provide strategic administrative support to our clients. The ideal candidate will be an exceptional multitasker with strong communication skills and a passion for helping busy entrepreneurs and business owners reclaim their time. As a Virtual Executive Assistant at ScaleUp Collective, you will work closely with our clients to manage a wide range of executive tasks, ensuring their day-to-day operations run smoothly.
Key Responsibilities
Executive Support: Provide high-level administrative support to founders, CEOs, and entrepreneurs by managing their calendars, scheduling meetings, and prioritizing daily tasks.
Email Management: Organize, respond to, and prioritize client emails, ensuring timely and professional communication.
Client Liaison: Act as the primary point of contact for clients, ensuring prompt follow-up, clear communication, and resolution of any questions or issues.
Travel & Event Planning: Arrange travel itineraries, accommodations, and logistics for business trips, as well as coordinate virtual and in-person events.
Document & File Management: Organize, maintain, and streamline important documents, spreadsheets, and client files for easy access and reference.
Project Coordination: Assist with project management tasks, ensuring deadlines are met and all relevant parties are informed. This may include overseeing small teams or collaborating with external vendors.
Time Management & Task Prioritization: Proactively manage the client?s calendar to ensure meetings, deadlines, and commitments are met without overwhelm. Help prioritize tasks to ensure optimal productivity.
Miscellaneous Administrative Tasks: Provide additional support as needed, including social media scheduling, creating reports, handling invoices, and assisting with personal tasks where appropriate.
Qualifications
Proven experience as an Executive Assistant, Virtual Assistant, or similar role supporting high-level executives, founders, or entrepreneurs.
Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
Exceptional written and verbal communication skills.
Ability to work independently and manage multiple clients and projects simultaneously.
Strong attention to detail and problem-solving abilities.
High level of discretion and professionalism when handling sensitive and confidential information.
A proactive, solution-oriented mindset, with the ability to anticipate client needs and act accordingly.
Experience with online business management systems and tools (CRM software, scheduling tools, etc.) is a plus.
Tech-savvy and comfortable working with various online platforms and tools.
Availability during standard business hours (with flexibility based on client needs).
